Team description
WaterAid Nigeria has recently completed its 2023-2028 country programme strategy which sets a 5-year building block towards delivering a more influencing led programme over a 10-year horizon. This new country strategy rather than reflect a progression from previous country programme strategies, outlines key shifts in focus required to catalyse change and achieve maximum impact for our work in Nigeria.
The People and Organisational Development (POD) department focuses on performing a catalytic role in supporting the rest of the Country Programme in effectively and efficiently delivering the strategic goals. The spheres of support include human resources management; general office management and administration; procurement; security, safety, and travel management. The OD remit include ensuring effectiveness to the country programme organisation structure, effective management of change processes and ways of working (systems and processes, etc)
Job purpose
The post holder will provide support to Procurement and Logistics processes in the Country Programme.
Accountabilities
Procurement Support
- With guidance from the Procurement and Admin Officer, ensure efficient procurement of goods and services in a manner that demonstrates highest standards of accountability, value for money and in line with procurement best practices, WaterAid and grant donor funding regulations.
- Build and maintain effective collaboration with the Finance and IT team to ensure timely processing of payments to vendors and service providers.
- Support the Procurement and Admin Officer to evaluate performance of vendors, consultant and service providers; Conduct staff satisfaction survey of hotels, car hire, travel agents and other service providers on an annual basis and make recommendations to the Head of People and Organisational Development accordingly.
- Support the Procurement and Admin Officer in other duties as required.
Logistics Support
- Work in close collaboration with the Security and Logistics Manager in selecting fit for purpose venues for meetings, trainings, away days , workshops and other CP events;
- Support all aspects of the organization of meeting events including supporting with budget development by providing current prices for goods and services.
- Support the Security and Logistics Manager in obtaining supporting documents from staff and vendors.
- Raise payments relating to logistics.
- Follow up with finance to ensure all payments raised are successfully processed.
- Support the Security and Logistics Manager in other duties as required.
Person specification
Essential criteria
- Completion of a 4- year undergraduate degree course in Administration or Business or any related Social Sciences field
- Excellent verbal and written communication skills.
- Proficiency in the use of the Microsoft suite of computer applications: MS Word; MS Excel, internet, and email.
- Demonstrate the right personal attitude and responsible work ethic
- Sufficient attention to detail is required to do work of a clerical nature.
- Ability to manage sensitive information of a confidential nature.
- Strong time management skills, and ability to prioritise multiple, competing tasks, sometimes under pressure.
- Excellent customer centric approach, ability to provide consistently high quality service to a diverse range of customers-internal and external.
- A background in accounting or demonstration of strong numeracy skills will be an advantage.
- Experience in Procurement and Logistics in an INGO is an advantage
